If you need to adjust when applicants can book interviews or add one-time special time slots, you can do it from the Calendars tab in the WootRecruit Hub. This is especially useful for keeping your availability in sync and offering unique interview times without changing your normal schedule.

How to Manage Calendar Availability in the WootRecruit Hub

🔑 Open the Calendars Tab

  • Log in to the WootRecruit Hub.
  • Click the Settings tab (green gear icon in the bottom left menu).
  • In the second left-hand menu, click Calendars.

✏ Edit Your Calendar

  • Locate your calendar (e.g., House Cleaning Calendar).
  • Click the pencil icon to edit.
  • Review the Meeting Details tab — no changes needed here if everything is already set up.

🕒 Check Availability Settings

  • Go to the Availability tab.
  • Make sure your Calendar Availability matches your User Availability (found under My Profile).
  • Example: If your user availability is Monday–Friday, 12:00 AM – 12:00 PM, your calendar availability should be the same.

📌 Add a Date-Specific Time Slot

  • In Date Specific Hours, choose a date (e.g., Saturday) to add a one-time slot.
  • Select your start and end time (e.g., 6:00 PM – 6:30 PM).
  • Click Submit to save.
  • To remove it (if no one is booked), click the trash can icon — it won’t affect your regular schedule.

⚙️ Adjust Interview Settings

  • Slot Interval & Meeting Duration: Controls how many interview slots fit in your open time.
    • Example: 30-minute duration in a 1-hour window gives you two back-to-back interviews.
  • Minimum Scheduling Notice: How soon before the interview applicants can book (e.g., 2 hours).
  • Date Range: How far in advance applicants can see and book times (e.g., up to 6 days out).
  • Seats Per Class: How many people can book the same interview time.
    • Tip: Account for ~50% no-show rate by offering more seats than your desired attendance.
  • Pre-Buffer/Post-Buffer Time: Leave blank unless instructed otherwise.

✅ Save and Confirm

  • Review changes and ensure settings match your intended schedule.
  • Contact your Sherpa if you want them to double-check your setup.

Important Notes 📝

  • Keep User Availability and Calendar Availability in sync for accurate scheduling.
  • Use Date Specific Hours for one-time exceptions instead of changing your whole schedule.
  • Increasing Seats Per Class can help offset no-shows.
